KYC onboarding software evaluation guide
A feature matrix tells you what a vendor says it can do. A useful evaluation shows what the configured system does to completion, fraud exposure, review queues, evidence, and cost for your actual customers.
Define the KYC obligation
Set the entity, product, customer, transaction, jurisdiction, trigger, evidence, and retention need before choosing checks.
Replay real onboarding cases
Test representative approvals, declines, edge documents, devices, retries, and manual-review cases under controlled configurations.
Price approved customers
Measure billable attempts and internal handling against approved customers rather than comparing a headline API rate.
Workflow map
What a KYC onboarding workflow must handle
- 01
Trigger and scope
State exactly when the flow runs, which customer or representative enters it, and which policy version applies.
- 02
Collection
Collect required identity, authority, ownership, purpose, and risk data without asking every customer for the highest-friction path.
- 03
Verification
Define documentary, database, biometric, or other accepted routes plus fallbacks for missing or conflicting evidence.
- 04
Screening
Place sanctions, PEP, adverse-media, or other risk screening with match resolution and ongoing rescreening where required.
- 05
Decision
Keep machine result, policy decision, reason codes, analyst disposition, and override authority separate.
- 06
Operations
Design retries, recontact, manual review, service levels, incidents, support, and change management before launch.
- 07
Evidence lifecycle
Retain the decision trail, source references, consent or notices, access controls, export, deletion, and policy version.
Replay scorecard
KYC onboarding metrics that can overturn a demo
- First-pass completion by country, document, device, and acquisition channel
- Retry-adjusted completion and the number of billable attempts per applicant
- Approval, rejection, inconclusive, and abandonment rates with stable reason codes
- Manual-review rate, analyst handling time, queue age, and recontact demand
- Decision latency at median and tail percentiles, not only a vendor average
- Vendor invoice plus internal labor divided by approved customers
Do not accept one aggregate pass rate. It can hide a failing country or document cohort behind easier traffic and says nothing about the review work moved to your team.
Commercial test
Normalize every KYC software quote the same way
Model minimum commitments, billable retries, platform and screening fees, vendor review, and internal analyst labor. Then divide by approved customers from the same replay cohort used for completion and review metrics.
